As a Freight Administrator, you will play a crucial administrative support role within the Freight department. This position involves providing essential backup for the team, ensuring the smooth flow of information and documentation related to shipments, invoicing, and customer communications. Your primary focus will be on administrative duties that help maintain efficient operations and excellent service delivery to customers and partners.
Key Responsibilities:
- Regularly email customers and service partners with shipment updates and details.
- Respond promptly to customer inquiries and ensure all communication is clear and accurate.
- Chase and gather backup documents (such as proof of deliveries, shipping manifests, etc.) from service partners.
- Maintain accurate records of all shipment-related documents, ensuring they are filed correctly and easily accessible.
- Assist in updating creditor costs and support the Air Freight team in ensuring accurate and timely invoice completion for customers.
- Verify that all charges are accurate and documented before processing invoices.
- Provide general administrative assistance to the Air Freight team, including data entry, filing, and document preparation.
- Assist with the coordination of freight shipments, ensuring that all documentation is correct and meets legal and company standards.
- Work closely with the Air Freight team, providing backup support where needed, including during high-volume periods or staff absences.
Key Skills and Qualifications:
- Experience in an administrative or logistics role, ideally within the freight or logistics sector, is preferred.
- Strong written and verbal communication skills, with the ability to liaise effectively with customers and partners via email and phone.
- Excellent attention to detail, with the ability to manage multiple tasks and prioritize workloads efficiently.
- Competency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with any logistics or freight management software is an advantage.
